All IYHA tryouts are now complete with the Bantam teams completing their tryouts on October 29th. Practices are in full swing and before too long our teams will be scrimmaging and playing games.
 
Remember – this is a long season. Please stay positive and keep your Knight positive. There are bound to be some bumps along the way but with the help of both parents and coaches, we will have success and have fun.
 
IYHA has been selected by the Minnesota Wild and American Family Insurance to be the recipient of the "Protect the Net for Youth Hockey." For each save made by a Wild goaltender American Family Insurance will donate $ 10.00 to our youth program. Let’s hope that the Wild win but get out shot by a lot that game. (March 9, 2008) In addition, I was also informed that IYHA has been offered the chance to sell programs at the Wild game on March 26, 2008 with the Wild donating $1,000 to the youth program. This money will be used for the scholarship fund. As soon as I receive the information packet, I will let you know the number of players and parents we need to make this happen.
 
I would like to personally thank the coaches, managers and team treasurers for stepping up to help out with your teams. Also please remember to sign up for volunteering at the Super Rink Tournaments over Thanksgiving and in January.

1) Irondale Youth Hockey – How much will it cost in 2007-08?
Volunteer to keep costs low
The Irondale Youth Hockey Association (IYHA) tries to keep the cost of hockey participation affordable while also ensuring that the kids participating get the ice time and the skills training necessary to develop and compete. To keep costs low, many, many hours of volunteer time are donated to the cause. Team coaches, managers and treasurers are all volunteers. The association board members volunteer the time necessary to do those jobs, which includes much more than the monthly meetings. We need parents to volunteer for these jobs and for help running our tournaments and other fund-raising and organizing activities. This year we are requiring a deposit, paid at the time of registration, which will be refunded if a minimum number of volunteer hours are worked.
Participate in Association Fund-raising Activities
We also try to keep families costs low by extensive fund-raising. Each member of our association belongs to the Lake Region Hockey Association which runs charitable gambling operations at local establishments and makes contributions to youth hockey associations and other youth sports activities. Last year Lake Region Hockey contributed $20,500 to IYHA which reduced each participant’s cost by over $80. The tournaments run by IYHA and the Mounds View Youth Hockey Association also raise significant funds. These tournament profits raised over $22,000 last year, reducing each IYHA participant’s cost by over $90. Other fundraising and donations to IYHA totaled over $5000.
Organize and Participate in Team Fund-raising Activities
The individual teams formed within IYHA also do their own fund-raising. The result of these efforts varied significantly from team to team depending mostly on the initiative of the team parents and coaches. The amounts raised last season varied from less than one hundred to several thousand dollars.
What are we Paying For
The primary expense in the cost of youth hockey is ice time, for the coming year it is expected to range in cost from $150 to $180 per hour depending on the rink and the time of year.   Almost 75% of the cost of youth hockey paid to the association is attributable to ice time. Other costs include game referees, equipment, clinic instructors and fees paid to USA Hockey, MN Hockey, District 1 and various expenses of running a youth hockey association the largest of which is the approximately $3000 we pay for auditing services.
What will it Cost this Year
The following table includes estimated costs of play at the different levels within IYHA. The IYHA cost is billed to the teams for ice time, association fees, tournaments paid for by the association, clinic costs and administrative expenses. The Team Cost includes team parties, sweatshirts or warm-up suits, extra scrimmages or tournaments, and other things which may be arranged for by the individual teams. These do not include deductions for team fundraising activities. Nor do they include the cost of the skates, sticks and other equipment parents furnish for their children. IYHA does maintain an inventory of used, donated equipment available upon request to our equipment manager. These costs also do not include the cost of attending tournaments, which for out of town tournaments would include hotels and meals.

Help for Families in Need
IYHA and Lake Region both have a limited amount of funding for families who need help.

2) Player Payment Policy
Player payments must be made if players are to be allowed participation.
 
Participation in youth hockey is relatively expensive.   The Irondale Youth Hockey Association strives to keep participant costs low through a variety of fundraising activities and the near exclusive use of volunteers to perform association activities. The Willard Fund is available to assist players and their families in a portion of the cost on a reimbursement basis if they are able to demonstrate need. Nevertheless the costs of participation must be paid.
 
Each team has a volunteer treasurer whose assignment includes collecting funds on a monthly basis from players, typically their parents or guardians. The association also has a volunteer treasurer who is responsible for collecting funds from the teams and paying association bills.
 
The team treasurers will set a due date for player payments. If payment from any player is late the treasurer will contact the responsible party, typically a parent or guardian, for payment. If the team treasurer is unable to collect within two weeks of the due date, the team treasurer will contact the association treasurer with adescription of the situation. The association treasurer will then initiate contact with the responsible party. The association treasurer will explain the association policy for player payments and attempt to collect payment. The association treasurer will also try to learn about the financial situation of the participant.
 
If the association treasurer is unable to collect within one month of the due date, the treasurer and the rest of the IYHA Board ExecutiveCommittee will evaluate the situation, decide if other financial aid can be applied and decide if the player is allowed to continue participation.  
If the player’s payments are brought up to date, the group made up of the IYHA Board Executive Committee may allow continued participation.
 
3) Financial Assistance
 
Both the Irondale Youth Hockey Association and Lake Region (a charitable gambling organization that helps with all of our expenses), have a limited amount of funds available for families in need. In 2006-07 up to $500 per family was available.
 
The Lake Region fund is called the Willard fund and is available on a one-time emergency basis only.
 
To apply for either, you must write a letter (or e-mail) stating why you need assistance and the source(s) of funds you are applying for.  The letter must contain the following information:
  • Statement explaining why you need assistance
  • Your contact information
  • Name(s) of your player(s)
  • Level of play of your player(s)
  • Name of team(s) if known.
Deliver the letter in one of the following ways:
  • Hand it personally to your Team Treasurer OR
  • Email it to either your Team Treasurer or to the Irondale Treasurer, Tom O'Keefe @  OR
  • Mail it to the Irondale Treasurer, @ IYHA,  Attn:  Tom O'Keefe,   P.O. Box  120114, New Brighton, MN  55112
Application letters take some time to process so if you are in need of financial assistance, please apply as early as possible, but no later than November 30, 2007.
For the Willard fund, your application will be seen by only the Lake Region Hockey Board, the Irondale Treasurer and your Team Treasurer if you choose to apply through the Team Treasurer.
 
For the IYHA funds, your application will be seen by the IYHA Executive Committee (the President, Vice-President, Secretary and Treasurer) and your Team Treasurer if you choose to apply through the Team Treasurer.
 
All funds are available on a reimbursement basis only. Families are expected to stay up-to-date with team payments. The Willard and IYHA funds will be reimbursed by check from IYHA.

WEBSITE Tips
 
Tip#1 - Multiple Schedules:  For those of you with more than 1 child in the program or who are coaching more than one team, our website has the ability to combine multiple schedules and print out one overall schedule that includes all the teams that impact you.  Use the "multi-schedule" feature from "Our Teams".  To use this feature, hover over the word "Our Teams" and if you previously looked at a team page, you will see a choice called "multi-schedule".  Click on it and you will be able to choose whatever teams you want to see and choose they type of schedule (Calendar or list).  You can download it or click on a printable version.  If you have not looked at a specific team page, click on "Our Teams", choose a team and click on "Multi-schedule" along the left hand side of the team page.
Tip #2 - Help: The website has help features throughout in case you get lost or want to know the purpose of a specific area.  To get help, click on the blue dots that contain question marks.  You will get a pop-up window pertaining to that feature.
Tip #3 - High School Games:  The board received a request to include the Irondale Boys and Girls High School games on the website.  Because the high school teams maintain their own websites, it might get confusing if their schedule is also on the IYHA website and any changes may not get reflected in a timely manner.  Links do exist on the website (see Links), but a more visible link was added to the home page along the right hand side.  Clicking on their icon will get you a new window directly to their website so you can check their games and their progress.
Tip #4 - Lost Items/For Sale Items:  Enter items that you have lost or would like to sell/trade in the Exchange!.  There are items listed there already.  It is easy to add your own item and you have control over the contact information and length of time it is posted.  Click on "Exchange" along the left hand side or look on the right under "Lost Items/Sale Items"

Called to order at 6:33 p.m. by President Tom Lucarelli.

3)       Herb Brooks Training Center – Tom Lucarelli – received email from Pete Carlson saying they could cut cost in half - $10,000 to share with another assn or do ½ as much – present to teams and see if anyone wants to do it – good idea – helps kids and coaches – call Pete if we are interested – need a point person to pursue this – should be part of player and coach development – can do similar exercises at Irondale HS – except Irondale doesn’t have the ramp – Jean send an email to coaches (Tom draft) for when they have parent’s meetings – see if there is interest – if so Tom coordinate else get back to Pete and say no thanks – 11 teams needed
                                                               
Board Roundtable:
 
President: Tom Lucarelli. – Tom attended the District 1 president’s meeting – discussion on level of play, waivers and game scheduling issues - issues with games – a lot of home games at rinks not considered our home rink – Bantams playing Highland at Highland (our home game) – Jackie fixed some of this – needed to be resolved. Thanks to people that helped with tryouts – went well – all non Irondale people did evaluations – things went fine – drills were done well and scrimmages – should be similar drills and evaluators for Bantams – Tom spoke with fundraising committee – will give ideas to Tom and he will share with board
 
Vice President: Cheryl Mason. – 2 meetings on tournament since last board meeting – final spot filled for Thanksgiving – 4 spots left for January – great committee – great trade show – jazzing it up - 10th annual – Let’s Play Hockey article – need teams to coordinate volunteer slots – boys should know this weekend and girls 12U will be done this weekend – 10U girls won’t be until 21st or 22nd – get Let’s Play Hockey to come – all ads free this year by LPH – our goal is to exceed last year’s $22,000 profit (year before that was $15,000) – pictures – working with Karen Franke – do them at SSR – need to set up a meeting for Treasurer’s and Manager’s (maybe do 1st week in November) – anything needed for girls – Mike will send to Cheryl – when have treasurers and managers – by end of next week – what are numbers? Initiation is down – 20 or more kids – Girls will be doing chuck a puck for tournaments (Rich told committee about it – volunteer hours and fundraiser, 75% going to assn) – Chris has the gambling permit – can have 1 – 3 (or 5) day permit – will give to Cheryl – grand prize – ATV – cash option available $3000 (for 1st place) – in contract with Hitching Post – trying to pre-sell raffle tickets – keep gambling separate as far as treasurer – 800 tickets will be sold – still looking for prize donations
 
Secretary: Jean Aukee. – One 14U mom would like her refund and or check returned – where are we at on that? Because she participated in warm-ups need to figure out how much to refund – ice times and cost – Tom – reimbursement from someone leaving assn – wants us to keep $150 (volunteer deposit) – offered as donation – and didn’t ask for refund for October ice time – went thru tryouts and warm-ups – should be a paper trail to go with donation
 
Treasurer: Tom O’Keefe. – budget and revenue status report – Tom made a motion to increase misc expense to $2100 - (TO) (JF) – motion carried – Willard Fund – applications – change website, email members, include in newsletter – last year practice – Tom emailed to Jean and Torri - Policy with player payments – those seriously late in payments – if too late, can’t skate – executive committee (president, vice president, treasury, and secretary) decision last year – Tom O motion to make formal the process that they used last year – 2 weeks team treasurer tries to collect, 2 weeks assn treasurer tries (MM second) – all approved – motioned carried – CEP refund request – who can be that coordinator – coaching roster will be given to Tom O
 
Girls Program Coordinator: Mike Nundahl. – Foundation 9 – grant $ - on website – U14s will be with Dist 1 Highland A and Washburn B – U12s will be Dist 2 – 12 teams – 2 U10s – Dist 1 (hosting district) and Dist 2 combined – 14 teams – Tom O wants to know if D1 or D2 or both will bill us? Mike will find out – should be D1 – Willard fund is one time – scholarship fund – will it be limited? Not yet – executive committee could review – Willard fund don’t hear until Dec or Jan – need to specify which fundraiser activities should go into scholarship fund – should all or most of them – always have wanted to try and let initiation kids skate free?

Boys Program Coordinator: Mark Mohar. – 2 hour meeting on tryout process – thanks to all attended – Sunday peewees and squirts done – kids all notified on Tuesday - Bantam tryouts at end of month – thanks to board for helping out (Erik Fredberg helped too) – will more kids be accepted if they still sign up – yes, but will be on C team unless extenuating circumstances
 
District Representative: Chris Drews. – Dist 1 board minutes – see handout – Mandatory meeting on Nov 1st for coaches, managers and presidents – MN hockey passed a guaranteed gate at our tournaments – cannot go back and charge more – Jackie got left over ice schedule from Chris – we can buy it – Chris has a check for Tom - $488 for Irondale Signs. Jackie - weekday games for squirts and peewee – make suggestion - no playing after 8:00PM? Don’t let academies run their own youth hockey programs – St Thomas Academy or MN Made or WI Fire. Get MN hockey to come and run clinics if we have extra ice time that won’t be used. Doing Schwann’s fundraiser again thru MN hockey – passed around flyer. MN hockey website – 20 -25 minute DVD on sportsmanship and what a good hockey parent is. Jackie question - $160 per hour cost for ice – include game scheduling fee & ice

Registration Coordinator: Jeanne Falconer. – get things down better with Torri – some people think MN hockey registration is all have to do and don’t need to do IYHA registration – have to pay registration money before can skate – Edison players are confused and having trouble determining what need to do for registration – need copies of waivers for Edison kids – some people still calling about registration – we haven’t paid MN hockey or USA hockey yet so those who haven’t hit the ice yet could probably get refunds – once Jeanne transmits it is done and then can’t refund – 227 registered so far (last year 264 registered– 242 skated) Tom question - $150 volunteer deposit – been paid by all members? Only 2 or 3 haven’t paid – 2 are coaches. Should be enforced – kid can’t skate or parent can’t coach – Jeanne will follow up
 
Equipment Manager: Tom Johnson. – Already talked about goalie pads and gloves and blockers and budget adjustment

Player and Coach Development: Mark Mohar – meeting is next week – will have 2 reports at the next meeting - need to get contract for Tadd before 1st player development session – 1st Monday in November – get contract approved by board? Warm-ups and player development will be included – need to reconcile hours estimated last year to hours actually worked last year to determine hours estimated for this year – Mark will follow up
 
Lake Region: Jeanne Falconer. – Meeting is next week – Tuesday 16th at the fire station – we need another member at large – Jackie will do it – thanks Jackie for stepping up – current members are Dan Beeson, Rick M, John Grilles (leaving), John Dalnes, Niki Gjere, Jeanne Falconer, Colleen Law, Maureen Winkel – Jeanne will send out an email after meeting next week informing us of money situation – Katies (96 and Lexington) up and running by November 1st – Willard fund will be on that agenda too
